Advanced Bookings

BookMy Solutions can be set up to manage exclusive events and books the time slot accordingly. This stops any double bookings from taking place.

You will need to set up an Online Payment Gateway to process online payments. We currently integrate with well-known payment providers including PayPal, WorldPay, Sage Pay, Card Stream, Lloyds Cardnet & Card save.

Bookings via our system can be directed through your website. You can achieve this by using external linking to your personalised booking wizard.

BookMy Solutions can manage any type of advance booking. You can sell these types of ‘packages’ both online and/or at the venue.

Data Security

We back up every 4 hours to an off site mirrored server and we use top quality mainstream hosting providers to ensure you have continuity of service.

General

Our support desk is based in Newcastle-under-Lyme. However, as our products are cloud-based we can provide solutions locally, nationally, and internationally. We also deliver remote training sessions, free of charge.

We offer email support with a call back facility as part of the monthly subscription fee. Our support desk is manned by our support analysts, with over 25 years experience within the IT support field. As part of the service, you also get access to our Emergency Support hotline number for out of hours support if required.

Payment provider setups differ significantly. We integrate with the most reputable providers in the industry.

We aim to operate on a four-week turnaround from onboarding to going live. This is usually only possible when your payment provider application is submitted within 5 working days from onboarding.

A customer support agent will be in touch to help you to:

  1. Set up all your business details, packages, products, and rules.
  2. Add all your existing bookings onto our system.
  3. Use the system venue-only system to prove the setup is accurate.
  4. Integrate with your web site.

You can handle telephone bookings, in-venue bookings, customer led online bookings through your venue dashboard.

Unfortunately, you do need an internet connection to access the system real-time. We do send booking records to you and you can print off booking records.

The BookMy Solutions are a booking management system. It can manage general admissions, party bookings, special events, repeat bookings made by yourselves or by the public.

You may have 1 or many activities and you may have a few packages or “too many” but you can set them all up on the system. It will then go through the booking process – show a price list for the date selected, get then number of admissions, calculate price, show availability, sell extras, collect customer details, get a deposit payment and ask for any other info you need in your booking process.

It then sends the customer a branded confirmation and you a complete back up of the booking.

No, you can sell everything on it! From bookings, event tickets, gift vouchers to party extras, we can support your selling needs.

Use the day sheet feature. This is a diary type page of all your activities which also shows all your bookings and when they arrive and what they are doing whilst they are there. If you have lots of activities, you will need a nice wide screen!

Not to worry! We have a lot of experience working with multi-activity venues. Our system has been developing for over 21 years to ensure we can anticipate and handle complex needs and combinations.

OK – in that case use the enquiry system and send the customer an Enquiry Confirmation. If they want to go ahead then they can click on a payment button and pay the deposit balance.

You can access the system from anywhere, providing you have an internet connection. You will be provided with your login URL and credentials.

We currently integrate with Smart Book and Sharp other integrations can be added upon request.

When you onboard, we provide a complimentary design to get you started. However, your web designer can develop this, or we can refer you to freelance designers who are familiar with amending our wizards. We can provide FTP access to the design files.

Yes. Add as many “book now” buttons as you can. We can link buttons to specific packages, or package groups.

No. We invoice one month in advance and you can cancel at any time with 30 days’ notice.

Management & Set Up

As many as you would need, there is no limit.

All changes to BookMy Solutions are made via the venue management portal. We train you on how to make the changes as part of the set up.

Planned price rises can be done within the venue management portal of BookMySolutions. The system will automatically switch the correct pricing on the date programmed.

Yes they can, and you can restrict what they can access. BookMy Solutions records who made the booking, amended the booking, taken a payment – giving you complete peace of mind!

We also have different user permission levels. You can operate and restrict access for staff, supervisors and managers.

You are able to set up in advance all school holiday dates, and program what packages are applicable during those periods. I.e. During school holidays, the Toddler package is not available, whereas in Term time it is.

Marketing

BookBy Solutions collects all your sales data and provides a wealth of reports on screen as well. We provide these in print-friendly format and can be downloadabled as .CSV or .PDF format.

Having processed millions of bookings for operators both small and large, we are sure there will be the report you are looking for on the system. You also have the ability to create your own custom report.

As part of the booking process you can collect customer details with GDPR compliant OPT-IN capture fields. You can then use this information to integrate with MailChimp, SurveyMonkey etc.
